Raise for Rowyn is currently and Administrative Assistant to help with office tasks and event planning. We are looking for someone who is interested in proactive communication, general support duties in a nonprofit office environment, schedule management and attention to detail.

THE DETAILS

Salary: $15 - $18 per hour (DOE)

Type: Part-Time (32 hours per week) with Full-Time during event season (Spring)

Desired Start Date: October 15, 2021

WHAT YOU DO

Administrative Assistance

  • Manages the initial processing of all funeral assistance request applications that are received on a daily basis

  • Acts a first point-of-contact for all general emails, phone calls and in-person inquiries

  • Manages all correspondence in Raise for Rowyn main inbox

  • Monitors all mail services in and out of Raise for Rowyn

  • Works with all necessary stakeholders to manage funeral home payments

  • Oversees construction and shipping of care packages for Raise for Rowyn recipients

  • Manages donation management system on a daily basis

  • Works with event and program subcommittees to ensure tasks are completed on time

  • Orders office supplies and materials when necessary

 

Fundraising event coordination

  • Works with Raise for Rowyn personnel and volunteers to assist in planning a variety of fundraising events ranging from 40-450 people

  • Works to finalize all event details in donation management system

  • Enters all necessary donor and sponsor information into donation management system and manages account details as needed

  • Provides Executive Director with reporting information as needed

 

Development assistance

  • Works with Raise for Rowyn personnel and volunteers to establish potential sponsors leads lists for event and program sponsorship development

  • Contacts potential sponsors as needed

 

Boards and Committees

  • Works with Executive Director to prepare and print all necessary documents associated with Board and Committee meetings

 

Other duties as assigned

WHAT WE NEED

Desired qualifications

  • 1-2 years of administrative office work, including typing meeting minutes, filing paperwork, answering emails and phone calls and general office tasks.

  • Possess solid Microsoft Office software skills and ability to use and learn other software suites.

  • 1-2 years of experience in planning and/or hosting events with multiple guests.

  • Exhibit excellent oral and written communication skills.

  • Be self-motivated; organized, work efficiently, ethically, and honestly.

  • Possess ability to work cooperatively and in a non-confrontational manner with others.

  • Ability to organize and plan own schedule of activities related to work goals and objectives set by the Executive Director and Executive Board.

  • Ability to maintain accurate records regarding time-keeping and authorized expenses.

  • Ability to work a flexible schedule during large events.

Decision-making: Administrative Assistants have to make independent decisions on a daily basis, addressing the best way to handle specific tasks.

 

Communications and collaboration: An Administrative Assistant must collaborate with stakeholders, funeral homes and potentially grieving families. A good Administrative Assistant must have the ability to show empathy and address our stakeholders with sensitivity and patience. 

 

Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list.

 

Writing: Spelling, punctuation, sentence structure and writing are essential to an Administrative Assistant, who must be proficient in a variety of styles, from creative to professional to technical to education and more.
